Office of Events Guidelines & Procedures

  • The Risk Management Department has created guidelines for hosting on-campus events and it can be found here.
  • The Office of Events cannot schedule academic spaces (classrooms, computer labs or any other space in which a class takes place) until the first week of each academic semester. Once the Office of the Registrar finalizes the class schedule, these spaces will be available to be assigned for event use. 
  • Any event request for academic spaces submitted prior to the first week of the semester will remain in the queue, unconfirmed, until the Office of Events is able to schedule academic spaces. 
  • Due to space limitations, requesting events during reading week and finals are discouraged and may not be possible to accommodate. 
  • The Office of Events is unable to approve requests for events that take place during scheduled setups of major University events including, but not limited to, exam periods, commencements, open houses, and the seforim sale.
  • All spaces needed for Shabbat are not available for booking on Friday. 
  • University Operations establishes University building hours. Requests must adhere to these hours and must conclude no later than 30 minutes prior to the building closing time.
  • Requests for use of student lounges are considered by both the Office of Events and the Dean of Students. These spaces are designed for student use and can only be taken out of use on a very limited basis. 
  • Once the Office of Events has been approved your event request, promotion of your event can begin. This includes email announcements and social media posts. Marketing and Communications offers many ways to assist you in the promotion of an event. Once your event is confirmed, complete a requisition form for print, graphic, digital and video/photo services here.
  • If you choose to print flyers, those can be hung on the post-it display boards found in lobbies and community areas across the campuses. Please note that flyers cannot be tapped to windows, walls, or stairwells. 
  • The official calendar system of Yeshiva University is 25Live. Other calendar tools are not permitted on any University webpage.  Please contact the Office of Events for your calendar needs.  
  • While the Office of Events does not charge for their services, various support services do. An index number is required on the event request for these charges. 
  • No outside food will be allowed. All catering must be ordered through YU Dining Services. 
  • If you are planning an event that includes alcoholic beverages, you must advise the Office of Events at the time of scheduling the event or activity. Please be advised that prior approval from the Risk Management Department and the Office of General Counsel is required in order to serve alcohol at any event. Failure to get prior approval will result in immediate cancellation of the said event. More information can be found here.
  • Yeshiva University has a no smoking policy in all buildings.
  • During the time of year air conditioning is needed, events taking place after 6 pm in 215 Lexington are subject to an after-hours HVAC fee and will require preauthorization from University Operations.
