Facilities Services provides a wide range of services. In addition to daily interior and exterior cleaning, our services department handles moving jobs, special event set-ups, snow removal, grounds-keeping and storage of furniture, furnishings and equipment as well as supervising independent contractors who are occasionally engaged to perform such activities.

Plant Maintenance maintains the key and lock systems for University property and facilities and can, with an authorized Request for Services Form, duplicate keys for University property, including most desks and file cabinets. Individual departments are not permitted to duplicate keys.
Facilities Services provides moving services for equipment and furniture within and between the University Campuses. Before a moving request is processed, the space assignment must have been previously approved.
Facilities Services will arrange classrooms, lecture rooms and public meeting rooms for special events. Set-ups must be requested through the use of a Physical Facilities Request Form. Rooms must be reserved, confirmed and approved by the Department of Facilities Services before requests will be processed.
All exterminating services for the Manhattan Campuses are handled by an outside contractor. In addition to serving our buildings on a regular basis, the exterminator will service locations that are having special problems. Please cooperate by keeping such problems to a minimum by limiting food in non-food service areas, closing food containers and by otherwise maintaining all departmental space in a clean and hygienic manner.
The Facilities Services staff makes every effort to quickly remove snow and ice first from the sidewalks, crosswalks and building entrances, and then from loading zones and parking lots. Snow removal, like all other services, proceeds on a priority basis with the objective of first making certain that safe conditions are maintained, followed by the operational needs of the University.
From time to time the University has furniture, furnishings and equipment in storage that can be assigned as needed to any one of the operating departments. Whenever the Budget Office receives a Purchase Order for such items, the order is routinely checked against items in storage. If the Purchase Order can be filled by items in storage, the requesting department is so advised and charged the "market value" of the item (that is generally far less than the purchase of a new item). Facilities Services should not be contacted to determine what is in storage.
Charges for normal routine services are included in the annual institutional support, space costs and related "overhead" costs allocated each year for budget purposes to each operating department on the basis of a formula which, among other factors, includes the square footage used by the Department. There is an additional charge for special requests and services for Facilities Services resulting from abuse or vandalism which should have reasonably been prevented. Such costs are determined by the price of the equipment, supplies and materials used and hourly charges for the labor involved, including supervision.
The budget of the department initiating the Request for Service will be charged for the cost for all special set-ups , special cleaning and moving services. There will be a premium charged when the seven-day advance notice is not provided and when the service requires working overtime.
Special requests that are estimated to have costs in excess of $500.00 must be approved by the Budget Office before they are submitted to Facilities Services and such approval must be noted on the Request for Service form.
While there may be some modification at different campuses and for different times of year, the Facilities Services staff works Monday through Thursday, 6:00AM to 6:00PM, and Friday and Sunday, 6:00AM to 2:30PM. In addition, the Manager and Supervisors are on call 24 hours a day and can be contacted at the number listed below. Workers are brought in as necessary when emergency conditions exist.
Please call 212-960-5206 during regular office hours: Monday to Thursday, 9:00AM to 5:30PM and Friday, 9:00AM to 2:30PM. You will be asked to provide details as to the emergency or routine request. Make sure to include the room number, building and campus.
Outside of regular working hours, please call the Department of Security and Safety emergency phone at 212-960-5200, which is manned 24 hours a day, seven days a week. When reporting an emergency to the Department of Security and Safety, ask to be connected to the on-duty Security Supervisor, and explain the exact nature of the emergency including the campus, building and room number. You must leave your name and a phone number where a Facilities Services Supervisor can contact you.
